Custom web app or off-the-shelf SaaS? How to choose
You can subscribe to a ready-made tool in 5 minutes; a custom app has to be built. When is building your own really worth it — and when is off-the-shelf smarter?

It's one of the most common decisions a company faces: subscribe to a ready-made tool or build your own. There's no single right answer — there's a right answer for your situation. Here's how to find it.
When off-the-shelf SaaS is the right choice
If your process is standard and not a competitive advantage — invoicing, simple mailing, a basic CRM — a ready-made solution is usually enough. You start immediately, pay monthly and don't worry about maintenance. As long as the tool fits the way you work, it's a sensible choice.
When it's worth building your own
A custom app makes sense when:
- Your process is unusual and you have to bend ready tools or force-fit several together.
- The tool is your advantage — the way you serve customers is what sets you apart.
- You pay too much per seat — with a larger team, per-user subscriptions can exceed the cost of your own system.
- You need integrations and data in-house, and off-the-shelf limits you.
Three things that are easy to miss
Ownership and data. In SaaS, data lives with the provider, on their terms. Your own app means full control and no vendor lock-in. Flexibility. A ready tool changes only within the limits its creator anticipated; your own fits the process exactly. Cost over time. SaaS has a low starting cost but a subscription that grows forever; an app has a higher upfront cost that amortizes over time.
Often the best answer is a mix
In practice it's rarely all-or-nothing. Many companies keep ready tools where they shine (e.g. accounting) and build their own only for the process that is their core — then wire the two together with integrations. You get the best of both worlds.
How to decide
Ask three questions: does this process set me apart, do ready tools genuinely fit it, and what will I pay for them over 3 years. The answers usually point clearly in one direction.
Summary
Off-the-shelf SaaS is great for the standard; a custom app wins where the process is your advantage or ready tools hold you back. At WNEX we help you make this decision with a clear head and build tailor-made apps — including ones wired into the tools you already use.
